Title: Contracts Assistant
Description: SUMMARY:
The Contracts Assistant will be responsible primarily for providing administrative assistance within the Contracts department with matters relating to drafting and negotiating a wide variety of contracts and license agreements. The individual will work closely with the VP and Executive Director, Director, and Manager of Contracts for various publishing divisions of the Company. The day-to-day administrative tasks include: taking phone messages, scanning and filing documents, updating and maintaining workflow and status reports, scheduling meetings, and assisting the V.P and Executive Director with confidential/high-profile contracts. The Contracts Assistant will also work closely with the Subsidiary Rights department to draft domestic and foreign translation licenses. This job offers a good introduction to the business side of publishing.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Update and track author agreements and amendments workflow and status reports for Grand Central Publishing (Forever, Forever Yours, GCP Life & Style, Twelve), FaithWords, Center Street, Orbit, and other imprints as needed.
• Route and mail author agreements, amendments, and work for hire agreements for Grand Central Publishing, FaithWords, Center Street, Orbit, and other imprints as needed, using DocuSign whenever possible. This includes handling and preparing payment information for Finance.
• Draft and review contract amendments. This involves correspondence and negotiation with the counterparty and in-house departments, including Editorial and Finance.
• Draft and review subsidiary licenses for FaithWords, Center Street, Forever, Forever Yours and Orbit.
• Review and respond to publishing rights reversion requests for Grand Central. Publishing, FaithWords, Center Street, Basic, Nation, PublicAffairs, Weinstein, and all subsidiary licenses (including domestic, foreign translation, and audio), working closely with Editorial, Sales, and Finance.
• Update, track and draft (as needed) contract cancellations across all imprints, including tracking repayment plans with Finance.
• Perform other duties as reasonably assigned.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
• Experience with Microsoft Word, Excel, PowerPoint and Outlook
• Strong written and oral communication skills
• Keen attention to detail
• Excellent organizational and time management skills
• Self-starter, able to take ownership of job responsibilities and manage work time efficiently
• Bachelor’s degree preferred
